8.7 Forms, content controls and protection

Content controls — text boxes, date pickers, dropdowns, checkboxes — turn a document into a form, and restricted editing keeps people in the fields and out of the layout. This topic closes the Word arc with protection options, with and without a password, and getting the collected answers back out. The common confusion is building a form out of underscores and hoping people fill it neatly; controls plus restriction is the version that survives contact with real users. It is also a small taste of designing for inputs, which Excel's validation topic mirrors.

  • Content controls: text, date, dropdown, checkbox

    Content controls are proper fields for text, dates, choices and checkboxes, rather than lines of underscores. They are what make a form fillable without being breakable.

  • Restricting editing to form fields only

    Restricting editing to the fields means the rest of the layout cannot be disturbed by someone typing in the wrong place. This is the setting that makes a form survive contact with users.

  • Protecting a document with and without a password

    Protection with a password and protection without one serve different purposes, and neither is real security against a determined person. Knowing what it actually prevents is the point.

  • Collecting responses back and getting the data out

    Getting the answers back out in a usable form is the step people forget to plan. It decides how the form should have been built. Think about the output before designing the input.
