8.6 Track changes, comments and comparing versions

Several people can review a document and you can see exactly what each changed.

Before:07. Word — CoreUnlocks:13. Portfolio & Certification

Track Changes records every edit so a reviewer's work can be accepted or rejected change by change, and this topic covers the markup views, comment threads, and the Compare tool for the day someone edited without tracking turned on. It sits with the long-document topics because review is how long documents actually get finished. The common confusion is believing the markup is gone because the display is set to hide it; the changes are still recorded until accepted or rejected, and documents have gone out with embarrassing history because of exactly that.

Work through these

  • Turning on tracking; markup views

With Track Changes turned on, every edit is recorded with its author, and the markup views control how much of that you see at once. Reviewing in the wrong view is why people think changes have disappeared.

  • Accepting and rejecting changes selectively

Changes are accepted or rejected individually or in bulk. Being able to work through them selectively is what makes review a conversation rather than a surrender.

  • Comments and resolving threads

Comments carry questions that are not edits, and resolving them keeps the margin from filling up. A resolved thread stays readable without staying loud.

  • Compare and Combine when someone edited without tracking

When somebody returns a document they edited with the feature turned off, comparing the two versions reconstructs what changed. It is the recovery tool for the most common review failure.

Practice file

  • wd-02-long-report.docx

A structureless multi-page report: no heading styles, a hand-typed contents page with wrong page numbers, two uncaptioned tables. Add sections, styles, a real TOC, captions and cross-references.
