A template is a document's starting point with the styles, layout and boilerplate already correct, and this topic covers building one as a dotx file, Quick Parts and building blocks, and how a team shares templates so every document starts right. The common confusion is editing a copy of an old document instead of using a template, which drags along every quirk and leftover of the old file — the template exists so that never needs to happen.

    A template carries styles, layout and boilerplate so every new document starts correct. It is how a team stops reinventing formatting for each document.

  • Quick Parts, building blocks and AutoText

    Reusable blocks of content that can be inserted by name save retyping standard paragraphs, tables and signatures. They live with the template and travel with it.

  • A letterhead that survives editing

    A letterhead built properly stays in place while the document is edited, rather than being a picture that moves when someone presses return. This is the difference between a template and a decorated document.

  • Where templates live and how a team shares them

    Where templates are stored decides whether colleagues can use them, and a template only one person has is a template nobody uses. Sharing is part of the design.
