7.2 Styles — the single most useful thing in Word

Changing a heading's look everywhere takes one action, not fifty.

Styles are the single most useful thing in Word: name a look once, apply it everywhere, change it in one place. This topic covers paragraph versus character styles, the built-in heading levels, and updating a style from a selection. It sits right after the basics because everything in the long-documents module — contents pages, cross-references, navigation — is built on heading styles. The confusion to clear is that Heading 1 is not big text: it is structure the document understands, which is also what a screen reader and the table of contents read.

Work through these

  • Paragraph vs character styles

A paragraph style controls a whole paragraph and a character style a few words inside one. Knowing which you need is the first practical decision in using styles at all.

  • Heading 1/2/3 and why they are structure, not size

Heading styles mark structure, not appearance, and that structure is what builds contents pages, navigation and a document a screen reader can move through. Making text large and bold does none of that.

  • Modifying a style and updating it from selection

Changing a style updates every paragraph using it, which is the whole payoff. Updating a style from a selection is the quick way to capture formatting you have already applied.

  • Style sets, themes and consistency across a document

Style sets and themes change the look of a whole document consistently. That only works if the document was built from styles in the first place. This is where the earlier habit pays for itself.
