7.1 Documents, text and the basics done right

What you'll be able to do

Produce a clean one-page document without fighting the formatting. You will be able to see what the document is actually made of. You will never again use the spacebar to place things on the page.

Before you start

Download the formatting practice document. It is a page built with every bad habit this lesson ends.

The work

  1. Same either way: first, make the hidden marks visible. Press CtrlShift8, using the 8 above the letters and not the one on the number pad. Paragraph marks, dots for spaces and arrows for tabs all appear, which shows the document's structure. Every mystery of jumping layout is visible in this view. Leave it on while you learn, and switch it on whenever a document misbehaves.
  2. Same either way: move the way a practised typist does. CtrlLeft Arrow and CtrlRight Arrow jump a word at a time. CtrlUp Arrow and CtrlDown Arrow jump a paragraph at a time. CtrlHome and CtrlEnd go to the start and end of the document. Add Shift to any of them and you are selecting by the same units, which is exact and needs no steady hand on a mouse.
  3. Same either way: the three clipboard keys everyone knows are CtrlX, CtrlC and CtrlV. Here is the fourth that practised people add. CtrlShiftV pastes the text only, dropping the fonts and colours that came with it. Pasting from a web page or another document? Paste it clean, then style it yourself.
  4. Same either way: now the rule this lesson exists for. Never place things on the page with repeated spaces or empty paragraphs. Five spaces to "centre" a heading move when the font changes. Four presses of Enter to push text to the next page fail the moment anything above them changes. With the marks showing, open the practice document and look at what it does: lines of space dots and stacks of paragraph marks. The honest tools are these. CtrlE centres. CtrlL and CtrlR align left and right. CtrlEnter starts a real new page. ShiftEnter breaks a line without starting a new paragraph.
  5. Same either way: let the checker help without letting it decide. Press F7 for the Editor pane, which reviews spelling and grammar in one pass. AutoCorrect fixes typing as you go. Sometimes it changes something you meant, such as a name or an abbreviation. A small lightning symbol then appears, and it lets you undo that one change, or stop that correction for good. File → Options → Proofing → AutoCorrect Options is where the annoying ones are switched off.

Try it

Repair the practice document with the marks showing. Delete every space and empty paragraph used for layout. Centre again with CtrlE, and put the page break back as CtrlEnter. Paste the web snippet with CtrlShiftV, and run F7 to finish. The marks view should end up clean: one paragraph mark per paragraph, and no lines of dots.

Check yourself

The structure you cannot normally see: paragraph marks, space dots and tab arrows. Reach for it the moment a layout misbehaves, because the cause is always visible among the marks.

They imitate a position using characters. Change the font, the margins or the text above, and the imitation shifts, because spaces are not centring and paragraph marks are not page breaks. CtrlE and CtrlEnter state what you meant, so they survive every change.

It pastes the text without its original formatting, so there are no imported fonts and colours to fight. Use it for anything arriving from the web or from another document.

ShiftEnter breaks the line inside the same paragraph, so there is one paragraph mark and one set of formatting. Enter starts a new paragraph. Addresses and headings with forced breaks want the first.
