11.1 Mail you can stay on top of

Your inbox is a queue you empty, not a pile you scroll.

Before:00. Getting Your Footing

An inbox that gets emptied beats one that gets scrolled, and this topic covers the machinery for that: folders and categories, a simple triage rule, rules and Quick Steps for repeated handling, and search operators that actually find the message. Writing email that gets answered — subject, ask, deadline — is the other half. It opens the Outlook module because mail volume is the problem everything else sits behind. The common confusion is filing as a goal in itself; an elaborate folder tree is no substitute for a triage habit, and search has made most filing optional.

Work through these

  • Folders, categories and a simple triage rule

A small number of folders, categories that mean something, and one consistent rule for what happens to each message. The system matters less than having one at all.

  • Rules and Quick Steps for repeated handling

Rules handle messages automatically and quick actions repeat a sequence of steps with one click. Both target the handling you do over and over without thinking.

  • Search that finds it: operators and scope

Search works far better with operators for sender, date and attachment, and with the right scope selected. Learning three of them removes most fruitless scrolling.

  • Writing an email people answer: subject, ask, deadline

A message that states its subject, its ask and its deadline gets answered; one that buries the request does not. This item is about writing for the reader's attention span.
